Juguemos a Cantar Spanish Program is looking for SCHOOL OFFICE ADMINISTRATOR-
Juguemos a Cantar seeks an Office Administrator to start as soon as possible. Interested parties should submit a cover letter, resume and three references.
General Job Description:
Coordinate office services such as office management, accounting, payroll, and other administrative activities for the organization; exercise independent judgment in the resolution of administrative problems; provide administrative support to Administrative Officer.
Skills:
* Highly organized, detail oriented, and able to work independently * Experienced with budgets and the use of QuickBooks for accounting * Experienced with internet research and Excel, Power Point and Word * Excellent writing and analytical skills * Collaborative work style * Discreet in handling all organization business
Essential Job Functions:
Office Management * Organize office tasks and procedures and recommend appropriate changes * Coordinate and implement office services such as payroll, purchasing, and budget and accounting operations * Monitor Juguemos insurance requirements * Help to develop funding policies * Perform research as necessary * Streamline office operations
Information Management
* Collect and research documents related to early childhood education * Assist with editing and developing reports and in-house publications * Conduct Internet research, coordinate internal information technology, and monitor Juguemos web site * Locate and compile information, format reports, graphs, tables, records and other sources of information * Organize, maintain and update children's files and information to be in compliance with current regulations. * Organize, maintain and update staff's files and information to be in compliance with current regulations.
Communication
* Participate in orientation of current and new families. Participate in orientation of current and new staff personnel * Coordinate office calendars and meetings and school calendar/s. * Prepare meeting agendas and materials and take minutes at meetings * Answer phones, greet and direct visitors * Check the School's e-mail for incoming messages and use judgement to re-direct them to appropriate people/ departments. Keep 'in box' clear of read messages * Monitor and prepare correspondence * Implement, provide and maintain information pertinent to children's health records * Liason with Bureau of Child Care and other government offices supporting directly our Educational Director
Human Resources
* Implement and maintain personnel forms and files * Implement, maintain, and monitor health and dental insurance if applicable* Implement and maintain bi-weekly payroll summary if applicable * Hire and supervise interns if applicable* Other duties as assigned
Decision Making:
On a regular and continuous basis, exercise administrative judgment and assume responsibility for decisions, consequences, and results having an impact on people, costs, and/or quality of service.
Education:
Required: College degree or equivalent work experience.
Experience:
Three or more years of related required.
Additional education may be substituted for years of work experience.
Special Skills:
Bi-lingual Spanish speaker and English (fluent oral and written) Knowledge or work in the early childhood education sector preferred. This job requires some physical work such as lifting, archiving, walking, and moving around, storing, organizing, classifying etc.
Compensation: Commensurate with experience.
Hours of work: Part time initially and potentially full time. 1 year contract employment (renewable)
Reports To: Juguemos a Cantar Administrative Officer
Location: Brooklyn (Park Slope).
